A crucial aspect of turning chaos into clarity is learning how to prioritize and delegate. Many course creators feel the need to handle everything themselves, often out of a desire to maintain control or due to trust issues - it’s a common trap for business owners!
However, this mindset can lead to burnout and hinder growth.
During my time as a VA, I worked closely with course creators to identify tasks that can be delegated to team members or outsourced to virtual assistants. By focusing their energy on high-impact activities, they can maximize productivity and drive their business forward.

One effective method I use as a business owner is the Eisenhower Matrix, which categorizes tasks into four quadrants based on urgency and importance. According to Mark Nevings, co-author of What Happens Now?³:
The Eisenhower Matrix is especially useful because, in requiring you to prioritize tasks by urgency and importance, it helps you figure out what you can delegate (or even not do at all) so that you can instead focus on the things that truly deserve your time and effort.⁴
This simple yet powerful tool allows clients to visualize their workload, distinguishing between tasks that require immediate attention and those that can be scheduled, delegated, or eliminated altogether.
Problem-solving through strategic planning
Honesty moment here: chaos often results from a lack of strategic planning.
Simple as that! Without a clear roadmap, business owners tend to operate reactively, constantly putting out fires rather than proactively pursuing growth.
I help clients shift this mindset by guiding them through strategic planning sessions that focus on long-term objectives.
During these sessions, we:
- Outline key goals - what does your client really want? It’s ok to think big-picture as well as more detailed as long as all of it is laid out.
- Break down goals into actionable steps - having goals is great…but the planning definitely doesn’t stop there. We now know what’s most important to your client, and now we need to figure out how to make it happen.
- Set measurable milestones - here, nail down the nitty-gritty details of what progress and success look like. Without understanding the milestones, it can be nearly impossible to determine if you’re moving in the right direction or not.
By establishing clear timelines and accountability frameworks, clients can transition from reactive decision-making to a more structured, forward-thinking approach.
Additionally, I encourage regular check-ins to review progress and make adjustments as needed. This ensures that the strategic plan remains dynamic and adaptable to changing circumstances.
Building sustainable habits
Turning chaos into clarity isn’t just about implementing systems - it’s about fostering habits that sustain organization and efficiency over the long term.
I cannot emphasize the importance of consistency and routine enough, as both help clients develop daily and weekly practices that boost structure.
Forming these habits early on goes hand-in-hand with creating solid systems⁵ that have great impact for course creators’ businesses.
For example, I recommend setting aside 30 minutes at the start of each week and each day to plan priorities and review upcoming tasks. This simple but powerful habit allows your clients to stay ahead of their schedules, reducing the likelihood of last-minute scrambles and missed deadlines.
I suggest doing something similar for end-of-day reflections, where clients can review accomplishments, identify unfinished tasks, and plan for the next day. By including these small yet impactful practices into their routines, clients gradually cultivate a more organized, focused mindset.
